Invoice Format for Freelancers in India (With and Without GST)

Freelancing in India means you're the designer, the developer — and the accounts department. A clean invoice gets you paid faster and makes you look like the professional you are. Here's a simple invoice format that works whether or not you're registered for GST, plus the fastest way to send one.

If you're NOT registered for GST

Many freelancers are under the GST registration threshold and don't charge GST. Your invoice is simpler, but it still needs to be a proper document:

  • Your name (or business name) and address
  • Your PAN (useful for the client's TDS records)
  • A unique invoice number and date
  • The client's name and address
  • A description of the work, with quantity/hours and rate
  • The total amount (and amount in words)
  • Your payment details — UPI ID or bank account
  • Optionally, payment terms ("due within 15 days")

Because you're not charging GST, there's no CGST/SGST/IGST section — don't add a "GST" line if you're not registered and collecting it.

If you ARE registered for GST

Once you're registered, your invoice becomes a GST tax invoice and must carry the full set of mandatory fields — GSTIN, HSN/SAC codes, place of supply, and the correct tax split. The complete list is here: GST invoice format. For services, remember the tax split depends on your client's state — CGST + SGST or IGST.

The fields clients actually care about

Beyond compliance, two things get freelancers paid faster:

  • A clear payment method. Put your UPI ID right on the invoice so the client can pay in two taps. A UPI "scan to pay" QR is even better.
  • A due date. "Payable on receipt" is vague; "due within 15 days" sets an expectation.

Sending it

Most Indian clients live on WhatsApp, so sending the invoice on WhatsApp as a PDF (with that UPI link) usually beats email for speed. Keep the message short: invoice number, amount, due date.
