How to Send an Invoice on WhatsApp (the Right Way, GST-Ready)

In India, most invoices don't get emailed — they get sent on WhatsApp. It's where your customers already are, and a bill in their chat gets seen (and paid) far faster than one buried in an inbox. But there's a right way and a wrong way to do it. Here's how to send an invoice on WhatsApp so it looks professional and actually gets paid.

The wrong way (and why it costs you)

Typing "you owe ₹5,000" into a chat, or sending a blurry photo of a handwritten bill, does two things: it looks unprofessional, and it gives your customer nothing to file for GST. If the amount is disputed later, a chat message isn't a document. You want a proper PDF invoice in that chat.

The right way: send a PDF with a payment link

The setup that works best in India has three parts:

1. A GST-compliant PDF — the real invoice, with your GSTIN, the customer's details, HSN codes, and the CGST/SGST or IGST split.

3. A short, polite message — invoice number, amount due, and due date.
